International Jazz in the Park Competition

I. ABOUT THE COMPETITION
Organiser: Fapte Muzicale SRL & Asociația Fapte
Competition: Jazz in the Park Competition
Purpose: Jazz in the Park Competition aims to identify, promote and support young jazz artists suited for festivals and live concerts.
Artistic Domains
Jazz in the Park Competition is open to all ensembles performing pieces in the genre broadly referred to as JAZZ (a full list of all accepted genres can be found here).
Competition Context
The competition takes the form of an open-air festival. Admission for the public is free, and alongside the actual competition concerts, other activities take place at the event venue, including concerts by non-competing bands. Our aim is to create as authentic a context as possible – a festival-like setting.
The competition stage will be one of the stages at the event and will host a minimum of 4 performances per day. Special guest concerts closing each day of the event will take place on a separate stage.
Despite the fact that each concert will be evaluated by our jury, composed of industry experts, the organisers expect the participating bands to behave as they would at any other festival, focusing on their artistic performance and interaction with the audience rather than addressing the jury.

Regulations
Participants in the competition are required to comply with the terms and conditions of these Competition Regulations (hereinafter referred to as the “Regulations”). The Regulations are available free of charge to any interested party on the competition page (www.jazzinthepark.ro/competition). Additional information may be requested at competition@jazzinthepark.ro. The Organiser reserves the right to amend the Regulations, subject to prior notice of at least one (1) business day before the date on which the amendments come into effect.
II. REGISTRATION FOR THE COMPETITION
Eligible Participants
Jazz in the Park Competition is open to all ensembles performing pieces in the genre broadly referred to as JAZZ (a full list of all accepted genres can be found here). By “ensemble” we mean an artistic group consisting of at least two instrumentalists, regardless of the instruments they play.
Members of the registered ensembles must be between 16 and 35 years of age at the time of the Jazz in the Park Competition (18 September 2026). By way of exception, one single member of the ensemble may be over 35 years of age.
Registration for the Competition
Registration for the competition is done on the website www.jazzinthepark.ro/competition on an ongoing basis until 3 May 2026.
Documents Required for Registration:
- The registration form completed online at www.jazzinthepark.ro
- The ensemble’s biography.
- A video recording (minimum 2 minutes) of at least one piece representative of the ensemble, performed live. The demo (live video recording of the band) must be uploaded to YouTube and must reflect the current line-up of the band. The actual (technical) quality of the recording does not constitute a judging criterion; however, participants are encouraged to submit materials of the highest possible quality so that the jury members’ assessment is not affected. Likewise, the circumstances in which the recording was made (live concert, rehearsal room, etc.) are not important. The video recording cannot be older than 1 January 2024.
- Recorded tracks by the band (min. 1 – max. 3), in addition to the video recording. These may be in the form of links to platforms used by the ensemble (YouTube, Spotify, iTunes, etc.), but at least 1 track must be available on Spotify.
- Media / Press kit – group photographs of the band. These must be recent photographs that do not contain other branding elements. Furthermore, all members of the ensemble must appear in the submitted materials. Both studio photographs and photographs from concerts are accepted.
- Links to the Social Media platforms on which the band is active.
- Technical rider & stage plot.
Remarks
Adding other members after registration for the competition is prohibited without notifying and obtaining the organisers’ consent. Replacing more than one third of the group’s members is likewise prohibited without notifying and obtaining the organisers’ consent. In the event of reaching the final, the members who take the Jazz in the Park Competition stage between 18–20 September 2026 must be the same ones who were registered and appear in the video, or those subsequently admitted by the jury. Otherwise, the ensemble will be disqualified.
Finalists will be required to send the Organiser copies of the identity documents of the band members.
Finalists will be required to complete and sign a Letter of Commitment confirming participation in the Jazz in the Park Competition during the period of 18–20 September, the availability of all band members to participate with the line-up presented at registration, as well as the express acceptance of the conditions set out in these competition regulations.
Finalist bands will be required to complete and sign a form assigning copyright to the organisers for their concert within the competition. As a result of the exclusive assignment, the economic rights over the musical work are transferred in full to the Organiser, who becomes the sole holder of these rights. Consequently, collective management organisations can no longer manage and/or collect remuneration for the use of the assigned musical work.
In the event that the Artist fails to attend the Competition or cancels participation for reasons attributable to them (except in cases of force majeure, illness or other incapacity of the Artist certified by a medical professional), the Artist shall pay the Organiser damages in proportion to the losses caused, set at the value of 1,000 euros.
The Organiser reserves the right to refuse the participation of a particular band on grounds of non-compliance with the conditions of participation.
By completing and submitting this form, participants agree that their personal data will be processed and stored by Asociația Fapte for the purpose of carrying out the Jazz in the Park Competition, in accordance with the personal data processing policy set out in these regulations.
All competition participants must read and accept the Regulations before registering. Failure to comply with the rules and conditions set out in the Regulations will result in point deduction in the competition or disqualification.
By submitting the registration form, you confirm that you have read, understood and agree to the Regulations. Participants declare on their own responsibility that they have the right to register the artistic projects/ensembles in the competition and that they are the authors and holders of the copyright of the respective artistic projects.
For projects declared as winners, the organisers reserve the right to present the respective artistic projects/works without any additional financial obligation within the 2026 edition of the Jazz in the Park Competition project, in any other type of public presentation, promotional material, press or media material, for non-commercial purposes and in connection with the Jazz in the Park projects in its current and future editions.
Vinyl Recording – Exclusive Assignment of Copyright
By accepting the Regulations and confirming the selection and participation in the Jazz in the Park Competition 2026 final, each finalist band assigns to the Organiser, expressly, irrevocably and unconditionally, the economic copyright over a representative musical piece (hereinafter referred to as the “Piece”), for the purpose of its inclusion on the competition album, released on vinyl (hereinafter referred to as the “Album”).
The Assignor (the finalist band, through its legal representative) assigns to the Assignee (the competition Organiser), exclusively, unconditionally, irrevocably, without territorial limitation, for a period of 10 years from the date of the Album’s release, all economic copyright over the Piece, including, but not limited to:
- the right to reproduce and fix the Piece on vinyl, digital media and any other technical medium known or to be developed in the future;
- the right to distribute and sell the Album and copies thereof, both within the Jazz in the Park festival, the Competition and their future editions, as well as through the Jazz in the Park partner venue network, partner bookshops and music stores, online distribution platforms and any other distribution channels, physical or digital;
- the right to communicate the Piece to the public, in any form and by any means, including broadcasting, cable retransmission, satellite or other transmission media, streaming and making available to the public by electronic or digital means;
- the right to import and export copies of the Album for commercialisation on national and international markets;
- the right to advertise and commercially promote the Album and the Piece, including in press materials, marketing campaigns, online and offline advertising content;
- the right to create derivative works from the Piece, such as adaptations, for promotional purposes related to the Album and Jazz in the Park;
- the right to authorise the use, publication and exploitation of the Piece by electronic or digital means, including on music streaming and digital distribution platforms;
- the right to translate and adapt the Piece, where applicable.
The assignment takes effect as soon as the selected finalist band confirms its participation in the Jazz in the Park Competition 2026 final.
During the term of the assignment, the Assignor may not authorise any third party to use, reproduce, distribute, sell or exploit the Piece in any way in connection with a similar phonographic product (album, compilation, vinyl or digital medium), without the prior written consent of the Assignee. The Assignor warrants that the Piece is original, that it holds all economic rights over it in full, and that it is not subject to any encumbrance, prior assignment or litigation that could affect the rights acquired by the Assignee under this clause.
The assignment of the economic rights provided for in this clause is included in the guaranteed fee granted to each finalist band pursuant to these Regulations, without giving rise to any additional financial obligations on the part of the Organiser.
The moral rights of the authors remain unaffected and belong to them in full, in accordance with applicable law. The Organiser undertakes to mention the name of the band and the authors of the Piece on all materials related to the Album, both physical and digital.
Announcement of Selection Results
Each candidate will receive confirmation or rejection, and where applicable, the official invitation to participate in the competition, no later than 21 May 2026. Following the pre-selection, the top 12 ensembles in the ranking will be invited to participate in the final in Cluj-Napoca (18–20 September 2026).
III. COMPETITION PROCEEDINGS
Final – Live Performance
Each selected band will perform at an event (live final) held on 18–20 September 2026 in Cluj-Napoca, on the stages dedicated to the event in Central Park (Parcul Central). By completing the registration form, the ensemble confirms the time availability of all its members for the duration of the Jazz in the Park Competition.
During the live, open-air performance competition, the ensemble will perform before the jury and the audience a recital of minimum 30 minutes and maximum 45 minutes. Backing tracks or DJ & voice formats are not accepted. All ensembles must perform live. Cover songs or rearranged versions are permitted.
By completing the registration form, the ensemble confirms the time availability of all its members for the entire duration of the Jazz in the Park Competition.
The organisers reserve the right to change the dates of the events, to cancel or merge performances in the event of unfavourable weather conditions or other events that prevent the project from being carried out.
Documents Required for Participation in the Competition and Collection of Prizes:
- Letter of commitment, signed by the representative of the artistic ensemble, confirming the availability of all band members during the Jazz in the Park Competition, as well as the express acceptance of these regulations.
- Consent form regarding the processing of personal data, completed and signed by each member of the ensemble.
- Copies of the identity cards/passports of each member of the participating band.
- Tax residency certificate (only for ensembles whose members do not have their domicile in Romania) for the band’s representative, in the case of ensembles declared as winners. Given that the issuance of the tax residency certificate by the national tax authorities may take up to 30 days, we recommend that it be requested upon confirmation of participation in the Jazz in the Park Competition final, so that the prizes can be paid immediately after the competition.
- Award report, completed, signed and acknowledged by the legal representative of the ensemble (in the case of ensembles declared as winners).
- Transport reimbursement form and supporting documents in accordance with the provisions of these regulations.
- Travel insurance and medical insurance for all band members, valid for the entire period of their stay in Romania. The costs of travel and medical insurance are borne entirely by the participating bands. The Organiser reserves the right to request proof of travel and medical insurance.
IV. PARTICIPATION FEE
Participation in the Jazz in the Park Competition is not subject to any fee.
V. CONDITIONS OF PARTICIPATION IN THE COMPETITION
Transport
If the artist/ensemble is not from the city of Cluj-Napoca, their transport from their city of residence to Cluj-Napoca and return will be reimbursed by the competition organisers up to 2,000 lei per ensemble for ensembles from Romania, and up to 1,000 euros per ensemble for ensembles from abroad. For the purpose of reimbursing transport costs, participants shall present supporting documents from the project period, such as: transport tickets, fuel receipts bearing the tax identification code of the organiser (Asociația Fapte, CIF 31425230), fiscal invoices issued in the name of Asociația Fapte, and the like.
Invoices issued to members of the artistic group, any legal entities other than Asociația Fapte, fuel receipts that do not bear the CIF of Asociația Fapte or bear it incorrectly, and any other documents that do not comply with the legal provisions in force will not be accepted for reimbursement. Transport reimbursement can be processed from the moment the bands can present supporting documents and complete the transport expense reimbursement form, but no later than 10 October 2026. The reimbursement form shall be accompanied by the original supporting documents. The reimbursement form shall be sent by email to competition@jazzinthepark.ro, as well as by post to Asociația Fapte, str. Franz Liszt 28A, ap. 2, Cluj-Napoca, or handed to the organisers on the last day of the competition.
Accommodation and Meals
During participation in the competition, the organisers provide free accommodation (3-star classification) for members of ensembles who are not from Cluj-Napoca for a maximum of 3 nights, at the choice of each ensemble, including the day of the competition. During their stay in Cluj-Napoca, participants will be provided with main meals, depending on their arrival/departure. All members of ensembles residing in Cluj-Napoca will receive a meal voucher on the day of their concert.
Guaranteed Fee
Each finalist band benefits from a guaranteed fee of 1,000 euros net, at the BNR (National Bank of Romania) exchange rate on the day of payment. Payment of the guaranteed fee is made within 14 business days of the performance (day of the concert), or within 14 business days of submitting the Tax Residency Certificate (in the case of foreign artists).
VI. REHEARSALS, EQUIPMENT AND STAGE
Soundchecks will be organised on the same day as the competition, at the same venue; each ensemble will have 30 minutes for the soundcheck (plus load-in time) before the concert. Each band has the right to bring its own sound engineer, provided this is specified in the technical rider sent to the organisers before the event. If the ensemble brings its own sound engineer, the audio mixer used by the ensemble will be the one provided by the festival; audio mixers brought by the ensemble are not accepted. All such details will be announced at least 14 days before the date on which each ensemble will compete.
The Organiser will provide a quality sound and lighting system, which will be used free of charge by all ensembles, and will provide a full backline: a complete drum kit, 1 x guitar amplifier, 1 x bass amplifier and 1 x keyboard (88 keys – e.g. Nordstage 2 or 3), 1 x upright bass, microphones, monitors and back-of-house equipment, as well as all sound and lighting engineers, including auxiliary staff. The stages in Central Park measure 8 x 6 x 8 metres. If the ensemble requires additional backline equipment, it is obliged to notify the organisers at least 30 days before the start of the competition, whereupon the organisers will present the available options.
Ensemble members may use any personal instruments, such as guitar, bass, keyboard instruments, any effects pedals, etc. Drummers may bring their own snare drum, bass drum pedal, drumsticks or cymbals.
Ensembles are required to communicate any special requirements beyond those set out in these Regulations. All ensembles are required to use the same backline and drums provided by the organisers. Keyboard instruments and any other special equipment – other than personal instruments such as guitars – will be placed on stage before the concerts begin and will remain there until the end.
To minimise changeover time between ensembles, bands with a left-handed drummer will play either at the beginning or the end of the show. All ensembles must strictly follow the instructions given by the organisers and the appointed stage manager.
VII. ORDER OF ENTRY INTO THE COMPETITION
The order of entry into the competition will be determined by the organisers and announced at least 7 days before competition day. The concert order of the 12 finalist bands will be determined by drawing of lots, after all finalist bands have confirmed their participation in the competition. The announced order may only be modified by the Organiser in the event of force majeure.
VIII. THE JURY AND THE SELECTION PROCESS
The pre-selection and final jury carries out its activity in accordance with the Competition Regulations, respecting the spirit of the Statute of the World Federation of International Music Competitions.
The pre-selection of bands that qualify for the final rests with the organisers, who are represented by:
- Alin Vaida – President, Jazz in the Park Competition
- Levente Borsos – Stage Manager, Jazz in the Park Competition
- Dan Vamanu – Booker & Stage Manager, Cirkular Studio
- Teodor Pop – pianist JazzyBIT, Jury President, Jazz in the Park Competition
Pre-selection criteria:
- quality of performance
- originality of performance
- compatibility of the artists’ music with the specific character of an open-air festival
The judging of the bands in the final stage will be carried out by a different jury from the one in the pre-selection stage. The Jazz in the Park Competition 2026 jury is composed of:
- Teodor Pop – pianist JazzyBIT, Jury President, Jazz in the Park Competition
- Simone Manchisi – Agent Django Music, Booker VIVA! Festival, Italy
- Dima Belinski – pianist, composer, arranger, coordinator of the jazz module at the “Gheorghe Dima” National Academy of Music
- Diana Gheorghiu – composer, member of UCIMR
The judging criteria for the final stage, on the basis of which the winners will be determined, are:
- quality of performance;
- group cohesion;
- originality;
- stage presence;
- compliance with organisational specifications (punctuality, duration of soundchecks, duration of live performance).
Remarks
Each ensemble will be judged according to the criteria mentioned above. Each criterion has a different weighting, as follows:
- Quality of performance – ratio × 3
- Group cohesion – ratio × 2
- Originality – ratio × 2
- Stage presence – ratio × 1
- Organisational specifications – ratio × 2
For each criterion, jury members will award marks from 1 to 10. The weighted average, i.e. the final mark, is calculated as follows:
(Quality mark × 3 + Cohesion mark × 2 + Originality mark × 2 + Stage presence mark × 1 + Organisational mark × 2) / 10 = Final mark.
Marks will be consolidated from all jury members and a ranking will be drawn up. In the event of a tie, the decision of the jury president is decisive. The jury decides the winners for each section of the competition. The jury’s decisions are final. During their participation in the competition, candidates are prohibited from contacting jury members.
IX. PRIZES
The jury decides, based on the criteria presented in Section IX, the prizes to be awarded at each section of the Competition. The jury reserves the right not to award one or more prizes, as well as to award special prizes other than those mentioned in these regulations. The prizes awarded at each section of the competition are indivisible. No derogation from this rule shall be granted.
Prize Values (gross)
- 1st Prize: 6,000 euros gross, at the BNR exchange rate on the day of payment, an invitation to perform a concert at the Jazz in the Park Festival 2027 (contract worth 3,500 euros net – fee & transport), and an invitation to perform a concert closing the 2027 edition of the Jazz in the Park Competition (contract worth 3,000 euros net – fee & transport).
- 2nd Prize: 3,500 euros gross, at the BNR exchange rate on the day of payment.
- 3rd Prize: 1,500 euros gross, at the BNR exchange rate on the day of payment.
- Best Romanian Band Prize: 1,500 euros gross, at the BNR exchange rate on the day of payment. In addition to the cash prize, the winning band also receives: an invitation to perform a concert at the Jazz in the Park Festival 2027 (contract worth 2,500 euros net – fee & transport), the production and distribution of a vinyl album through the Jazz in the Park partner music store network (a prize worth 9,700 euros). Additionally, the winning band will benefit from the production of a music video for one of its songs (a prize worth 4,000 euros).
- Best Composition Prize: 500 euros gross, at the BNR exchange rate on the day of payment.
- Three (3) honourable mentions for the best musicians: 500 euros gross, at the BNR exchange rate on the day of payment.
- Audience Prize: 1,000 euros gross, at the BNR exchange rate on the day of payment.
Remarks
- Prizes may be cumulated.
- The organisers reserve the right to supplement the number of bands they invite to perform at the Jazz in the Park Festival, 2027 edition.
- After the completion of the final stage of the Competition, the necessary procedures between the organisers and the winners will be carried out no later than 15 November 2026.
- Total prizes amount to 50,000 euros (comprising the guaranteed fees for the finalist bands, the sums and the awards corresponding to 1st, 2nd, 3rd place, best Romanian band in the competition, most valuable composition and the honourable mentions for the best musicians).
- Special prizes consisting of products and services offered by sponsors, as well as concerts at Jazz in the Park partner events/venues, will be added during the course of the organisation.
- For ensembles from outside Romania, the payment of prizes will only be possible upon presentation of a Tax Residency Certificate from the country of origin, in accordance with the legislation in force at the date of publication of these Regulations. Given that the issuance of such a certificate may take up to 30 days, we encourage ensembles to request the tax residency certificate at the time of confirming their participation in the competition.
X. FINAL CLAUSES
The organisers of Jazz in the Park Competition reserve the right to televise, broadcast, photograph, film and record on audio-video media all performances at the event. Audio recordings may be the subject of an audio recording medium to be used in future editions of the project.
XI. PROTECTION OF PERSONAL DATA
Within the Jazz in the Park Competition 2026 project, ASOCIAȚIA FAPTE processes your personal data provided directly and through the competition registration form.
The personal data processed are as follows: surname, first name, email address, telephone number, home/residence address, identity document series and/or number, personal identification number, banking data, your role/capacity in relation to the operator (volunteer, member/staff, journalist, guest, artist, representative of a contractor/sponsor/authority/public institution, jury member, etc.), biometric data – photographs, video recordings, Social Media/Website profile.
The legal bases for processing this data are: your prior and explicit consent, the performance of a contract or for the purpose of entering into a contract, for the legitimate interests of the competition organiser or a third party, except where the interests or fundamental rights and freedoms of the data subjects prevail over such interests, as well as for compliance with a legal obligation or the protection of the vital interests of a natural person.
The processing of personal data is carried out for the purpose of registering ensembles in the competition, awarding prizes, concluding copyright contracts, drawing up participation lists and the like, and promoting the events and activities of the Competition. Your refusal makes it impossible to register for the Jazz in the Park Competition.
Personal data are kept for the duration of the competition, but no longer than 3 years from the date of completion of the project.
We review the collected data each year, analysing the extent to which their retention is necessary for the stated purposes, your legitimate interests or the fulfilment of the Operator’s legal obligations. Data that is no longer necessary will be deleted.
The Operator communicates your personal data to public entities/authorities (ISU, ANAF, Police, Courts, Prosecutor’s Offices, City Hall, Local Council, County Council, Ministries, etc.) and other institutions that may claim access to such information under the law.
We do not transfer your data to third countries or international organisations, except in situations where the existing collaboration relationship requires it.
With regard to your personal data, you have the following rights:
Right to information – you may request information regarding the processing activities of your personal data, the identity of the operator and its representative, or the recipients of your data;
Right to rectification – you may rectify inaccurate personal data or complete them;
Right to erasure of data – you may obtain the erasure of data where their processing has not been lawful or in other cases provided by law;
Right to restriction of processing – you may request the restriction of processing where you contest the accuracy of data, as well as in other cases provided by law;
Right to object – you may object, in particular, to processing of data based on the legitimate interest of the Operator;
Right to data portability – you may receive, under certain conditions, the personal data you have provided to us in a machine-readable format, or you may request that such data be transmitted to another operator;
Right to lodge a complaint and to apply to the courts – you may lodge a complaint regarding the manner in which personal data are processed with the National Supervisory Authority for Personal Data Processing and/or you may apply to the courts for the enforcement of your rights;
Right to withdraw consent – where processing is based on your consent, you may withdraw it at any time. The withdrawal of consent will only have effects for the future; processing carried out prior to withdrawal remains valid;
Right not to be subject to automated decisions or additional profiling related to automated decisions – you may request and obtain human intervention with regard to the respective processing, or you may express your own point of view regarding this type of processing.

We comply with the legal provisions relating to the protection of personal data and implement technical and organisational measures to protect all operations relating directly or indirectly to personal data, which prevent unauthorised or unlawful processing, as well as accidental or unlawful loss or destruction.
We do not use personal data for automated processing, nor for profiling. We never make automated decisions regarding you. We use technical means for storing data under secure conditions. We do not process data for secondary purposes incompatible with the purposes for which they were collected.
XII. TERMINATION, MODIFICATION OR CANCELLATION OF THE COMPETITION
The Organiser has the right to unilaterally modify the running of Jazz in the Park Competition 2026 in the following respects: (1) the number of performances, whether by reduction or increase, (2) the venue and/or date of the event, (3) the scale of the competition or of the performances, (4) the number of participants (audience) or competitors, or (5) the nature of the event and of the activities carried out within it.
Participants understand and accept that with regard to (1) the specific date and venue of the performances, (2) the performance schedule, (3) the artistic activities that may take place, or (4) other organisational aspects, changes may occur caused by both the Organiser’s internal organisation and external factors (severe weather phenomena, orders of authorities/public institutions, of private entities involved in the conduct of events, changes in legislation, limitations imposed by epidemics, diseases, restrictions on the movement of persons, risks of spreading diseases or epidemics, force majeure or any other limitations imposed by public or local authorities for reasons of public security and health). These changes shall not affect the validity of the commitment assumed by participants, who irrevocably undertake to comply with the changes that have occurred. The Organiser has the right to unilaterally cancel the competition or performances, in whole or in part, before or during their conduct, as well as the right to restrict the participation of the Artist, or one or more members of the ensemble, in any phase of the competition. Such measures shall only be justified in situations such as severe weather phenomena, orders of authorities/public institutions, of private entities involved in the conduct of events, changes in legislation, limitations imposed by epidemics, diseases, restrictions on the movement of persons, risks of spreading diseases or epidemics, force majeure or any other limitations imposed by public or local authorities for reasons of public security and health.
By way of derogation from the rules established above regarding the expenses borne by the Organiser, in situations where the commitment is modified, the conditions for holding the competition are changed (art. 1.1 and art. 1.2) or when the competition or performances are cancelled in whole or in part (art. 1.3), the Organiser shall not be bound to bear any expense incurred by the Artist, the ensemble or its members in consideration of the competition, nor any material or moral loss, past, present or future, suffered in this context. In situations where the competition is cancelled, the Organiser may reschedule it for a later date which will be communicated to the competitors.
In situations where the Competition is modified, cancelled or terminated before its due date, including in the event of the Organiser’s inability, for reasons beyond its control, to continue the Competition, the Organiser is not bound by any obligation assumed towards the Competition participants, nor is it bound to pay any sum by way of compensation or otherwise.
XIII. DISPUTES AND APPLICABLE LAW
Any disputes arising between the Organiser, on the one hand, and the Competition participants, on the other hand, shall be settled amicably or, where this is not possible, the disputes shall be resolved by the competent court in accordance with common law. The applicable law is Romanian law.
In the event of discrepancies between the Romanian text and the English text, the Romanian version of these Regulations shall prevail.
